Accounting Assistant

ROLE SUMMARY
This role is responsible for the daily administration of basic accounting tasks.  The position primarily provides staff assistance to the AP Specialist.

COMPENSATION
$21 per hour. Paid time off, health insurance benefits, and a 401(k) plan are also available for eligible team members.

PRIMARY DUTIES
  • Process major vendor and supplier invoices for prompt pay discounts.
  • Match purchase orders to invoices.  Resolve pricing discrepancies promptly.
  • Reconcile major vendor statements.
  • Support and assist daily AP/PO invoicing and payment selection process.
  • Pull ACH/check supports for the signer to review and sign.
  • Assist AP to scan and upload ACH/checks into Doctray.
  • Assist the Payroll Specialist to review and enter time entries for subcontractors by comparing labor recap forms to the respective daily installation schedules.
  • Review subcontractor’s invoices to ensure the hours and amounts billed match the approved labor recap form, approved rate sheets and comply with the labor law.
  • Process urgent AP requests to meet deadlines.
  • Prepare and process year-end 1099.
  • Handle vendor correspondence via phone or email.
  • Maintain and update CA licenses and other state licenses if needed.
  • Maintain vendor in Sage to reflect accurate address, contact information and payment terms.
  • File, maintain, and distribute accounting documents, records, and reports.
  • Assist AR and other general accounting staff as needed.
QUALIFICATIONS
  • High school diploma, or GED.  Associate’s degree in Accounting or related field preferred.
  • 2 years’ work experience in accounting or administrative roles.
  • Proficient with Microsoft Office applications. Previous experience with Sage 100 a plus.
  • Effective verbal and written communication skills.
  • Acute attention to detail and ability to handle multiple tasks
  • Ability to work in a fast-paced environment and meet multiple simultaneous deadlines
  • Strong organizational, research, follow-up, and time management skills
  • Ability to learn quickly and work independently as well as contribute as part of a team
